Most consultants keep the method vague until the contract is signed. Below is what we ask for, why we ask for it, and what we do with it. If any of it is a problem, say so on the call and we will work around it or tell you we cannot.
We ask what is broken, what you are running, and what you have already tried. If we cannot help, we say so on the call. If we can, you get a one page scope and a start date.
You grant access. We change nothing. We inventory what exists, pull record counts, map your object model, and document your current stages, fields, and automations. You get a written findings summary at the end of the week whether or not the engagement continues.
Built and tested outside production. You review before anything touches live data, and nothing ships without your sign off.
Changes deploy in a defined window. We run a walkthrough with your team, hand over written documentation, and record a video of the build. Then thirty days of support while your team lives with it.
No lock in, no proprietary layer, no dependency on us. If you want ongoing help, that is the retainer.
System Administrator on a sandbox, plus a standard admin login on production for read access during inventory.
Object model changes, field creation, validation rules, and flow work are all admin gated. Sandbox first means nothing is tested against your live pipeline.
Audit the data model and field usage. Rebuild stages with real exit criteria. Fix lead to opportunity mapping. Build routing by region, tier, industry, and title. Clear duplicates and add rules that block new ones at creation. Rebuild reports and dashboards.
Delete records without an exported backup and your written approval, or mass update production outside an agreed window.
Super Admin.
Workflow, property, and integration changes require it, and the HubSpot to Salesforce sync cannot be diagnosed without full visibility on both sides.
Rebuild campaign taxonomy by product, channel, and year. Fix source and attribution tracking. Repair the sync chain. Restructure lifecycle stages and enrollment logic. Normalize historical pipeline against campaigns, content, and events.
Admin seat with enrichment and intent permissions.
Enrichment field mapping and intent configuration are admin only.
Configure enrichment mapping. Set up daily intent monitoring by account and lead. Build champion tracking with job change alerts. Set import rules for target account tiers. Connect intent signals into routing.
Technical Administrator.
CRM sync configuration and engage flow setup require it.
Fix account and company sync mismatches and backfill incorrect connections. Configure engage flows and content. Set automatic removal and disqualification on bounce. Map AI next steps onto opportunities.
Admin.
Sequence and mapping changes are admin gated.
Sequence architecture, CRM sync mapping, activity logging, handoff rules between SDR and AE, and reporting that ties sequence performance to pipeline.
Deduplication rules operate at the org level.
Deduplication for leads, contacts, and accounts. Scheduled weekly merges. Normalization rules. Creation blocks that stop duplicates entering rather than cleaning them up later.
Workspace contributor, plus read access on the underlying source.
Publishing and refresh scheduling need contributor rights.

If we tell you a tool is wrong for you, that is the only reason we are saying it.
Out of scope work is included in the retainer, estimated and approved in writing before we start it. No invoice will ever arrive with something on it you did not agree to. Out of scope means a workflow you want built after handoff, a report you thought of once the engagement closed, a tool you bought midway that was not in the original scope, or training a new hire on systems we built. Anything that would take more than a day gets quoted as its own published price piece of work rather than billed hourly, which protects both sides and keeps the published price promise intact.
Written documentation in your own drive. A recorded video walkthrough. A live training session with the team who will use it. A field and object dictionary. Thirty days of support at no charge. Written confirmation that our access has been revoked.
