CRM deduplication tools, and why merging is the easy half.

Every tool here will merge. Few change what creates them, which is why most teams run this project twice.

What each one is for

RingLeadRules you define for matching, merging and normalisation, with prevention at entry.Heavier setup, by design
CloudingoStrong merge interface and scheduled jobs in Salesforce.Cleanup half is the strength
DemandToolsLong established, batch oriented, capable well beyond deduplication. Not for live prevention
InsycleBroader data management with better HubSpot support than most Salesforce-first tools.Wide rather than deep
HubSpot nativeWorks on similarity rather than your rules. Catches obvious cases.Misses domain matches
Salesforce nativeDuplicate and matching rules can block creation, and most orgs never turned them on.Underused, not weak

Questions

What is an acceptable duplicate rate?

Under about five percent on accounts is workable. Above ten percent, any report built on account counts is no longer reliable.

Do I need a tool, or can I use native features?

Many teams get a long way with native matching rules nobody has switched on. A tool earns its place on volume, multi object matching, or prevention at entry.

Why do duplicates come back after a cleanup?

Because forms, imports, enrichment and reps creating rather than searching are all still running under the same rules.
