CRM and data

When does it make sense to migrate to a new CRM versus fixing what we have?

Migrate for a structural reason. Frustration is not one, and it follows you.

Got it. You will hear from hello@sapwood.io.

The short answerMost CRM pain is configuration, not platform. A migration carries the existing data model with it unless somebody redesigns it, so the same problems arrive on a new platform with a new bill and six months lost. Three reasons justify switching: the object model genuinely cannot represent how you sell, a merger forces consolidation, or the licensing economics have broken. Everything else is a rebuild in place.

What migration actually costs

Data migrationMapping, cleaning and loading. Longer than quoted, every time.Months, not weeks
Integration rebuildEvery connected tool needs rewiring and retesting.Often the bigger half
Reporting rebuildHistory does not come across cleanly, so comparisons break.Leadership notices
RetrainingEvery rep, every process, during a quarter you still have to hit.Productivity dip
The old model, carried overUnless somebody redesigns it, the same problems arrive intact. The usual outcome
What it does not fixDefinitions, ownership and governance travel with you.Fix these either way
What this looked like in practice

rebuilt in place, not migrated

That company had a migration quoted before we read the system. The object model was fine; the matching rules were not. Rebuilding in place cost a fraction of the quoted migration and did not carry the old model onto a new platform.

Questions

When should we migrate CRM?

When the object model genuinely cannot represent how you sell, when a merger forces consolidation, or when licensing economics have broken. Frustration with configuration is not a reason, because it follows you.

Will a new CRM fix our data problems?

No. A migration carries the existing data model unless somebody redesigns it, so duplicates, blank sources and unclear stages arrive on the new platform intact.

How do we tell configuration from platform?

Write down what you cannot model today. If the answer is a process or a field, it is configuration. If it is the shape of the objects themselves, it may be the platform.
