Fractional RevOps for HubSpot

What to look for in someone who will be inside your portal every week.

The short answerHubSpot is designed to be usable without a dedicated admin, which is exactly why it drifts. Properties multiply, lifecycle stages stop meaning anything, workflows fire into nothing, and nobody notices until reporting disagrees with itself. Look for someone who will fix the governance, not just the symptoms.

What to ask

How they handle duplicate companies at the point of creation rather than at merge time. Whether they rebuild lifecycle stages with exit criteria. What they do with properties that no report reads. Whether they touch the marketing to sales handoff at all.

Credentials worth checking

HubSpot Academy certifications are free to obtain, so treat them as table stakes rather than proof. What matters is whether they can describe a specific portal they fixed and what changed. Sapwood is HubSpot Revenue Operations certified and can.

Common HubSpot findings

Duplicate companies created by forms matching on email rather than domain. Lifecycle stages used inconsistently by marketing and sales. Lead scoring configured once and never validated against closed deals.

Questions

Do I need a HubSpot partner or a fractional operator?

A partner for a migration or a large build. An operator for governance, reporting and the ongoing drift.

Why does our HubSpot keep getting messy?

Because creation rules, property governance and stage definitions were never set. Cleaning without governance buys about a quarter.

Is HubSpot lead scoring worth using?

Only if the model has been tested against closed deals and is revisited. Most are not.

Are you HubSpot certified?

Yes, HubSpot Revenue Operations certified, HubSpot Academy.
