The most common cause is configuration that stopped when the trial ended. Before renewing or cancelling anything, establish what each tool was bought to do, whether that job still exists, and whether anyone owns it. Most unused tools are not bad products, they are products that were never connected to a process. Configuration is usually cheaper than replacement.

How to decide on each tool

Write down what it was bought to do

If nobody can answer this, that is the finding. Cancel it.

Check whether that job still exists

Businesses change. A tool bought for an outbound motion you no longer run is not underused, it is unnecessary.

Name an owner

Every tool needs one person accountable for whether it is configured and used. No owner means no adoption, regardless of configuration.

Audit the actual configuration

Most unused tools are running at a fraction of capability, configured only as far as the trial required.

Configure it properly or cancel it

Those are the only two honest options. Paying for a tool at ten percent of its capability is the worst of both.
